PURPOSE OF POSITION:
Performs responsible, varied, specialized customer service, clerical, or secretarial duties for the Airport department, performs related work as required.

Essential Job Functions
ESSENTIAL JOB FUNCTIONS:
Answers in-coming calls and routes callers or provides information as required. Receives the public and answers questions; schedules appointments; responds to inquiries from employees, citizens and others and refers, when necessary, to appropriate person. Keeps appropriate records of all incoming and outgoing communications.
Maintains inventory and orders department office supplies. Maintains paper supplies for printers, copier, fax machine, and calls for repairs on office equipment.
Receives, stamps, and distributes incoming mail and deliveries, prepares replies independently; processes outgoing mail; picks up department mail at City Hall.
Composes and/or edits correspondences, reports, statistical data, transmittals, memoranda, and other material requiring judgment as to content, accuracy, and completeness, some of which may require obtaining, organizing, and planning suitable presentation of content. Edits and re-words the work of others as needed.
Provides assistance to the Airport Finance & Administration Manager on the Airport Parking Lot operations.
Operates a motor vehicle regularly to attend meetings, trainings, inspections, and other situations when necessary.
Prepares training requests for department employees, maintains employee training files and updates employee training database.
Obtains and compiles information needed for administrative use or report preparation where only general directions are received. Inputs data to standard office and department forms; creates forms as needed; compiles data for various reports or documents.
Manages Airport contracts and tenant leases to include all advertising accounts, airside and non-airside facilities, and other agreements as required. Drafts documents from templates for use in advertising and hangar space rentals.
Monitors departmental documents and records. Develops, organizes, and maintains filing systems, report systems control records and indexes for department.
Attends Airport Commission meetings, prepares, assembles, and distributes notices, agenda, and packets; records and prepares the minutes; maintains mailing lists; indexes and files the minutes packet materials; distributes other information as requested. Airport Commission meetings are held outside of routine business hours.
Maintains Airport employee parking card system; assigns cards; performs monthly inventory audit; collects deposits; refunds deposits.
Maintains any changes/updates for the Airport website.
Maintains mailing distribution lists for the quarterly Airport art shows displayed in the Roberts Field Terminal.
Coordinates drop-off and pick-up of artwork and paperwork, coordinates with jurors prior to show to schedule time for pieces to be juried; hangs and removes art, creates name tags for accepted pieces, maintains spreadsheets and creates receipts for sold pieces, mails art to patrons as needed.
Assists Airport Finance & Administration Manager or designee with the accounts payable process.
Maintains Airport Terminal brochure rack; orders stock; fills displays.
Maintains Airport Terminal Lost & Found program; collects items from various stations in Terminal; logs lost & found items and inquiries; makes every effort possible to find owners of lost items; tracks and delivers donations of lost items to a local charity.
Performs department errands within City as needed.
Maintains a clean office workspace.
Performs other duties as assigned.
JOB QUALIFICATION REQUIREMENTS:
Minimum Qualifications:
High School diploma or GED equivalent and an associate's degree in business administration, or related field, and three (3) to four (4) years progressive experience in office administration; or any equivalent combination of experience and training which demonstrates the knowledge, skills, and ability to perform the above-described duties.
Thorough knowledge of general and specialized office practices and procedures; correct and effective use of English grammar and business arithmetic. Knowledge of basic accounting, bookkeeping principles, and Microsoft Office applications (Word, Excel).
Ability to understand and execute complex oral or written instructions and apply guidelines to widely varied situations; express ideas and convey information effectively orally and in writing; maintain confidentiality.
Maintain effective working relationships with other employees and the general public; deal with the public in a pleasant and courteous manner; maintain accurate records; set priorities; and deal effectively with frequent interruptions and several situations at one time; effective use of business telephone etiquette.
Knowledge of and experience with managing contracts, leases, or related documents and accounting/bookkeeping principles are desired.
Special Requirements/Licenses:
The position requires employees to operate a motor vehicle in the course of their position. Possession of, or must obtain within thirty (30) days from date of hire, a valid Oregon driver’s license.
Must have a safe driving record.
Must pass an FBI background check.

Computer, including word processing, internet, and spreadsheet programs; typewriter, calculator, telephone system, copy machine, scan machine; fax machine, and postage machine. This position requires use of City vehicles.
