The LOC currently has an open Administrative Assistant position. This position assists the organization and its various departments, under the supervision of the Chief Operating Officer (COO), by providing financial support to the COO, administrative support for the LOC Board of Directors, and LOC’s various committees and caucuses. Administrative tasks are intended to assist in the coordination of LOC programs, events, information, correspondence, schedules, and data.
The Administrative Assistant is fully trained on all the job duties listed below and regularly performs or assists with these job duties as directed by the Chief Operating Officer. Any person meeting the minimum qualifications is strongly encouraged to apply.
Essential Job Duties include:
- Provides administrative support for the LOC Board of Directors; schedules meetings, prepares meeting packets, conducts research, takes minutes, and performs other related administrative tasks. Includes clear communication verbally and in writing, along with posting, editing, and uploading documents onto the LOC website.
- Assists with the development of the LOC Board of Directors' annual budget.
- Provides administrative support for LOC committees and caucuses; schedules meetings, prepares meeting packets, conducts research, takes minutes, and ensures all documents are retained and stored according to LOC policies or committee expectations.
- Responsible for assisting the COO with basic financial tasks, which include processing documents related to accounts payable and receivable.
- Receives payments and processes weekly deposits.
- Support the Membership and Engagement team with membership drives, city updates, and data entry, ensuring accurate and timely processes.
- Maintain and update the membership database, perform regular data cleaning, run system updates, and generate reports as needed.
- Provide administrative support for events, meetings, and trainings, including managing registrations, assisting attendees, processing invoices, coordinating logistics (e.g., catering, room reservations), and preparing materials like sign-in sheets, name badges, and surveys. Provides general office support, including answering phones, copying, collating, filing, monitoring equipment, etc.
- Provides back-up to other Administrative Assistants.
- Maintains cooperative working relationships with staff, clients, other organizations, and the public.
- Demonstrates professionalism in communications, work habits, and attire.
- Commitment to customer service and growth of the organization; a positive attitude; and regular office attendance.
- Travel as needed to locations throughout Oregon in the performance of duties related to staffing the Board of Directors and conferences.
- Performs other related duties as assigned.
Position Hours:
This is a full-time, 40-hour per week position reporting to the Chief Operating Director. Work in the LOC offices is required a minimum of four days per week, from 8:00 a.m. to 5:00 p.m. Hybrid and telecommuting options could be available one day per week outside of mandatory in-office days (Mondays and Wednesdays).
Compensation & Benefits:
- Depending on a person’s qualifications, the pay range is $28.33 to $39.35 per hour, with an anticipated new hire range of $28.33 to $34.97 per hour.
- 80% employer-paid health insurance (Kaiser, Regence, or Surest).
- Public Employees Retirement System (PERS) – full employer contribution.
- Vacation leave:
- 14 days annually (years 1-5)
- 20 days annually (years 5-10)
- 21.5 days annually (years 10-15)
- Sick Leave: 8 hours per month.
- 12 recognized holidays + 1 floating holiday.
